Name and objective of the event
The name of the event is Kafaalat and its objective is to raise funds for Muslim children and educate them in order to bridge the gap between academic performance and industry needs.
The event envisions steering the educational upliftment of competitive, but financially deprived students, irrespective of their racial, caste, religious, colour, sectarian and linguistic identities. My role in the project was to develop network relationships with a large number of people and other organizations that can be helpful and act as effective sources of information.
The collaboration occurred while networking with colleagues, people having support needs, carers, family members, health care professionals and a few other experts. Here, for the given project, the collaborative work activities comprised group projects that included networking with colleagues.
The first strategy being used for the event includes networking with support groups. These groups offer information in relation to present issues pertinent to the Muslim group, best practice tools and techniques, referral procedures and other relevant services.
Another strategy includes networking with teachers and other training bodies. These aid in offering best practice tools, techniques and knowledge and advice on suitable professional development programs.
The timeline of the event was 2.5 months during which we developed sustainable community services with professional edge and clear vision.
Collecting, maintaining and reviewing the information regarding potential and present collaborators and networks is crucial to ensure effective delivery of services. Upkeeping an updated contact list for all probable collaborators helped in benefitting the involved key stakeholders. Evaluation of strengths and weaknesses of the event helped in forming effective strategies to communicate with the relevant people. Professionally polite relationships depend on good communication and mutually beneficial interactions.
The experience from the event has improved both my listening and communication skills. Listening helped me in remaining alert and responsive throughout the event. Being the representative of the organization, I always ensured to maintain professional and ethical standards. I communicated clearly and adequately and maintained a higher level of confidentiality. Various interagency meetings took place wherein a number of distinct agencies met together to discuss topics of mutual interest.
I regularly monitored, assessed and reviewed the working of networking and collaborative activities, in relation to the needs of supporting people. Scheduled reviews of the service outcomes of the individual people have been performed to determine individual gaps.
To offer the best possible individualized services to every person, effective changes have been made in the networks and collaborative practices to undertake effective improvements.
My role helped in evaluating how the service delivery of every support individual is operating. Regular review processes helped in identifying the performance gaps and this added to the value of networking and collaboration as the skill. I learned that service needs might change as the needs of every person, preferences and goals change resulting in adjustments and adaptations to service delivery.
Before actually making entry into the collaboration, it is important to describe the preference and needs strategies and interact them with the pertinent people. I listened to their needs and wants and negotiated an approach that builds a win-win outcome for all. All the aspects of such networking and collaboration are required to be documented in an appropriate manner.
The network – The privacy and confidentiality of people has been upheld at all times. The personal information was only shared with permission and when became essential. Before sharing the information, permissions have been obtained and partially relevant information was shared in a few cases.
The organization – Electronic systems are used for recording client details, assessments, referrals and case notes in the client database.
The client – Files are protected with a password so that only authorized individuals can access the data or the information.

Duplication is a similar process that is finished two or more times, wasting both time and resources. It is highly usual in large organizations with inadequate processes of communication and must be removed wherever possible. In case any problem arises in the company, firstly, one must look for the same case to arise or not before. In case, the same problem has been encountered before, one must look for how that problem was solved. It will aid in saving time and the also in tackling the problem in a better way.
Effective collaborative partnerships take due time to form and need to be nurtured. Regular contact and commitment towards helping others build strong bonds and make sure that others will remain available to aid in meeting the objectives. Interagency meetings have been held wherein a number of distinct agencies meet together to deliberate topics of mutual interest.
Islamic Relief Australia will collaborate with the aim of fighting poverty, alleviating the suffering of people at a global level and overcoming all sorts of injustice. It seeks to enhance the lives of the world's poorest and most vulnerable people via development, relief and advocacy work. To follow up, interagency meetings will be held on a monthly basis. Chairing the meeting and minute taking will be shared with the member agencies.
The confidentiality of the network is maintained by ensuring permissions from members before actually sharing the information. The original information is edited or partial information is offered, in case required. And for the organization, it is maintained by using electronic systems for recording referrals, details, assessments and case notes of the clients in the client database.
The workplace has a policy that prohibits the sharing of detailed personal and financial information regarding clients and staff. The weakness of the collaboration is the communication issues and strengths are concerned with complete participation and cohesive structure with clear role boundaries. In order to improve the collaboration, the feedback strategy can be used. The feedback must be asked from the collaborators and stakeholders. Data from present and past collaborations can be used to determine patterns, trends and gaps.

The aim of creating the network is to share information and views with engaging parties. Thus, one can make contributions to networks by actively participating in conferences, and seminars held; sharing information and personal views within a network; looking out for information and communicating with other involved parties constantly, so that effective decisions can be made.
The confidentiality of the network will be protected by ensuring sharing of personal information after obtaining permission and by just sharing partial information when it becomes necessary. The confidentially in the organization is maintained with the help of electronic systems being used to record the details of the client, assessments, referrals and cases noted in the client database. The privacy of the client is maintained by keeping the password for the files so that only authorized people can access the information.
To avoid duplication in service delivery, sharing of information and resources is essential. If one shares the information, and resources, one could find information regarding the corporation's best practices, corporate policies and advice that might help us in doing better alternatively, one must offer the advice wherever essential. The resources and information can be shared on the company's website, the company's policies and procedures page, etc.
The sharing of information and resources may take place outside the company. While sharing resources and information outside the company, one must remain careful as one can lose the competitive edge. Thus, after carefully assessing the information that stops the duplication of work, one can come to a verdict on whether to use or not to use the obtained information.
An appropriate format must be used to communicate the procedures and policies in order to convey the right information and the needs of the intended audience.
The improvement of the network act as a collaborative procedure. The feedback has been asked from collaborators and stakeholders. Working together to determine the successes has offered identifiable advantages for clients.
Maintenance and improvement of networks can help the organizations by making the members feel valued, supported and respected and can feel free to brainstorm ideas and innovate.
After the creation of the network, one has to participate in such a network on an active basis. The success and failure of collaboration depend on the acting parties. The collaboration generally fails when parties perform passively. While dealing with participants, one must act formally and professionally and share personal opinions and information within the network and also communicate with other engaging parties that are involved.
